OBOT Job Opportunity: Coordinator, Membership and Events

In this role, you will play a pivotal part in maintaining and enhancing the experience of our valued members, while contributing to the growth of our community. Your focus will be on building and nurturing relationships, ensuring smooth event execution, and maintaining seamless member data.
Key Responsibilities:
Membership Services & Administration
- Build and strengthen relationships with existing OBOT members, ensuring a positive, rewarding experience that encourages long-term engagement.
- Proactively communicate with members to help them maximize the benefits of their membership.
- Act as the main point of contact for inbound membership inquiries, triaging and directing them to the appropriate team member.
- Support membership growth by managing accounts, tracking member needs, and collaborating with the business development team.
- Leverage our CRM system to its fullest, ensuring data accuracy and integrity while managing all membership information.
- Analyze and report on membership trends, supporting operations, sales, and finance with insightful data.
- Drive revenue by promoting advertising and sponsorship opportunities, alongside member services.
- Oversee membership dues and other billing processes, ensuring timely invoicing and account management.
Member Recruitment
- Assist with identifying and targeting potential new members through market research and outreach efforts, including email campaigns and networking events.
- Support the creation of tailored membership packages and ensure new members understand the benefits of joining.
- Assist in onboarding new members, ensuring a smooth registration process and immediate engagement with available services.
- Help drive member referrals by promoting the referral program to existing members.
- Track and manage recruitment leads, updating the CRM system to ensure accurate reporting and follow-ups.
Event Services & Administration
- Play a key role in event logistics, from guest registration to ensuring a memorable event experience.
- Manage event registration pages, providing support for guest inquiries and event-related payments.
- Collaborate on event execution, ensuring sponsors’ deliverables are met and events run seamlessly.
- Attend and actively participate in events to strengthen member and partner relations.
General Administration, Branding & Communications
- Regularly report on goals, progress, and performance metrics to track success.
- Contribute to internal and external meetings, offering insights and ideas to improve our initiatives.
- Support key committees by assisting with organization, minute-taking, and agenda setting.
- Serve as a welcoming point of contact for visitors, tourists, and members at the Ottawa Board of Trade office.
- Cultivate a strong understanding of local communities and OBOT members to better serve their needs.
Skills & Qualifications
- Strong attention to detail and organization, ensuring all member information is accurately tracked and updated.
- Proven experience in event logistics and coordination, with the ability to manage multiple moving pieces at once.
- Experience in CRM systems (preferably in membership management), with a focus on data integrity and reporting.
- Ability to confidently use technology and AI tools (both generative and non-generative) to support problem-solving and productivity.
- Excellent communication and interpersonal skills, with the ability to build relationships and provide exceptional member support.
- Ability to manage multiple tasks effectively, prioritize responsibilities, and meet deadlines.
- A passion for creating seamless member experiences and driving organizational growth through strategic member services and events.
